Many managers/leaders think of delegation as dumping work or just getting work done. But I see it as an Art and a science. It is a match of team member, skills of person, skill set of team member, skills required for task, time available for task, accurate/finesse required in task etc etc.

Identifying tasks for delegation starts with a comprehensive assessment. Distinguish between tasks that require unique expertise and those that can be efficiently handled by others. This involves categorizing based on complexity, importance, and the skill set required. Begin by listing to evaluate which tasks are repetitive or administrative in nature and can be delegated to free up their time for strategic decision-making. Prioritizing also helps in understanding which activities directly contribute to the organization’s goals and require the executive's focus. Breaking down tasks into smaller, manageable components improves clarity and understanding. This clear delineation of tasks is the foundation for effective delegation.

An example that I have noted in my previous employment is that, people need to be passionate about their work,in this way delegation becomes easy because people are willing and not being forced to do things against their will and in this way, team work becomes a manageable activities for the benefit of all

Task identification is definitely the first step. The assumption here is the trust for the team members and their skillsets etc are already assessed and in place. However, after the task identification one needs to be sure about 'self'. Ask yourself a question, "Am I comfortable on not knowing about these tasks minute by minute?" If you are not, what is it that you need to think about or do to be comfortable with that scenario? Once you become fine with the scenario, chances are that the delegation of tasks will be successful and beneficial to you and your team members.

So much of the time in delegating is in determining both the What and the To Who. Both can be expedited and the process enriched by looking at the list of what must be done through the lens of “Who would learn most from doing this?”

When delegating, clarity is key. Assign tasks with precise instructions, detailing the expected outcomes and deadlines. Ensure your team understands their responsibilities and the objectives. Clear communication minimises misunderstandings, ensures accountability, and streamlines the delegation process, making it more effective and efficient.

Set roles and responsibilities. Set expectations , objectives and boundaries. Provide necessary resources and clarity doubts. Offer guidance. Give necessary authority and autonomy. Be clear about power and authority. Clarify boundaries. Monitor and offer help if necessary. Don’t micromanage. Clarify whom to report. Snd what is the feedback channel. Offer constructive feedback.

Al designar a los ejecutivos adecuado, garantizaras en un gran porcentaje, la efectividad de los resultados. Guiar al entregar la designación y durante el proceso, será clave. Esa es la verdadera razón de la supervisión, apoyar y prevenir con consejos, guías, tutoriales, etc. Mayor comunicación, resultados más eficientes.

Para atribuir claramente as atividades, defina prioridades e prazos, use ferramentas de gestão como Asana ou Trello, seja específico ao descrever objetivos e recursos, delegue com base nas habilidades dos executivos, ofereça suporte contínuo, acompanhe o progresso regularmente e forneça feedback construtivo.

Offer necessary resources and support, but also encourage them to find their own solutions. This fosters a sense of ownership and responsibility.

The first step in streamlining and delegating is that you know and understand your teams skills and opportunities to learn in addition to understanding their career desires. With this baseline, you can, what I call, put the right butts in the right seats as far as tasks and duties that will allow them to be successful and productive and at the same time stretch. Next you have to ensure the goals, objectives, duties are in alignment with the vision and strategy of the organization. Allow your team to understand what happens before and after what is their responsibility. This makes delegation very easy, and your team empowered. Let them fail and ask a million questions, they are leaning and becoming more valuable engaged employees.

Si ya adjudicaste las tareas seleccionadas, a los mejores ejecutivos para realizarlas, los mediste, apoyaste y supervisaste, no tendrás que corregir la estrategia, pues irás adaptando el proceso de cada uno de los ejecutivos a la estrategia que ya habías seleccionado por ser la mejor, la más eficiente, etc.

Besides all measurable things like skill, speed etc. It is very important to consider softer things like trust, dependability, confidentiality etc what can make it easier to decide who can be best fit for a required task.

Level 1: Tell: Leader provides specific instructions, retaining full control. Level 2: Sell: Leader outlines problem, delegate provides options, leader decides. Find the deeper mindset that prevents managers from delegating more effectively. I have found that mindsets/belifes/fears like loss of relevance, being out of touch with the work, loss of influence are some of the main reasons manager don't delegate even after identifying tasks, prioritisation etc.
