Balancing conflicting deadlines. The first point I am going to make is prioritize your tasks based on importance of detrimental effect. I take care of 150-200 systems (300+pieces of equipment) by myself with no helpers. This includes HVAC, Refrigeration, Ventilation, EMS and minor plumbing. I do both preventative maintenance, service diagnostics and repair. Refrigeration calls always take priorities over any other call, over filter maintenance schedule or HVAC call, because of food preservation. Also, you need to take into account the vendors schedule and their availability. I've been doing this for more than 25 years, so to me its second nature. However, I amazed to see so many younger guys making mistakes. You also need to see if there is anything you able to do the help the situation u8ntil the vendor arrives on site.

It is a routine problem faced by facility managers. The first thing to remember is not to panic. You were hired to resolve such situations, and everyone encounters them. Recognize your role and have a plan to address potential issues. Solutions can vary depending on your organization's culture—some rely on vendors, some on spares, and some on both. Understanding your organization's culture will guide your actions from day one.

The most critical thing you can do as a leader is interpret the higher leaders intent and analyze which equipment has the most importance out of all the equipment that has the “highest” priority! If you have a bulldozer that is actively in a construction of a highway and an excavator that is actively in the construction of a building which is more important? Does the highway take precedence or does the building? There is no set standard to answer by. You just judge it on your experience and the knowledge of both project and where they are at in the project lifecycle. The bulldozer may be involved in finalizing g the highway runoffs while the excavator could be involved in foundational development. Where is the equipment used in time?

Pour le reste, une intervention de maintenance est souvent question de point de vue. Le niveau d'urgence doit être hiérarchisé. Deux interventions de maintenance dites "urgentes" alors qu'un seul technicien est disponible : Une des interventions devra devenir moins urgentes. Il faut alors faire comprendre à l'utilisateur que son "urgence" l'est un peu moins qu'une autre, même si on comprend bien qu'il est très embêté. Il faut alors bien expliquer et éventuellement dire qu'une prochaine fois il sera traité en priorité.

Roof leaks are of major concern no matter where they are. But they take on even more priority when the leak is above an electrical room, elevator machine room, or communication room. You must first see if there is anything you can do during the actual leak. There is also the very real possibility of mold. You have to be diligent about removing all the damaged drywall, Insulation and anything else that been damaged by this leak. Important note, Don't rush to get whatever wall, ceiling or opening closed back up before determining if the leak was actually repaired correctly. Installing new walls or doors and frame will be damaged and add thousands more to the initial cost if the repairs are not done in the proper sequence

Yes, prioritizing critical tasks is essential for the smooth operation of an organization. But to achoive this the manager must be well aware and understand the organization's business process flow. Without this knowledge, they may prioritize incorrectly, potentially focusing on less critical activities and missing key deadlines.

In my opinion, a manager must be fully aware of his resources, including his subordinates, manpower, machinery, tools, and spare parts. By understanding the strengths and weaknesses of his team and knowing the available tools and machinery in inventory, a manager can effectively prioritize tasks. Without this knowledge, he cannot decide which tasks to perform where and when. On the other hand, a good manager who is aware of his resources can easily prioritize tasks, resolve multiple issues simultaneously, and manage his responsibilities efficiently.

Pour pouvoir faire face aux urgences il est nécessaires d'avoir des ressources disponibles. Ressources humaines notamment. On peut planifier la journée des techniciens de maintenance à 100% mais en cas d'urgence, des tâches planifiées ne seront pas réalisées. Pour palier cela, il est nécessaire de conserver un temps disponible : 10 / 20 / 30 % du temps, fonction du secteur et de l'activité. Et s'il n'y a pas d'urgence ? Il faut avoir prévu des tâches non planifiées réalisable en cas de disponibilité de personnel. La planification de l'activité Maintenance est un réel travail complexe mais qui assure un service optimal, une satisfaction de tous, une meilleure qualité et donc des coûts diminués.

First, create a timeline for each project. This helps you visualize how much time you have for each task and ensure that nothing gets overlooked. Second, break down large tasks into smaller chunks and focus on one task at a time. This helps to keep you focused and to prevent getting overwhelmed by the amount of work to do. Finally, prioritize tasks according to their importance or urgency. If two tasks have the same deadline but one is more important than the other, obviously focus on completing the more important task first.

Une maintenance préventive adaptée est en effet un des moyens de minimiser les arrêts non désirés et leur durée. La formation, l'expérience, la disposition de pièces et d'outillages sont également des éléments clés. Il est parfois difficile de juger de la pertinence des plans de maintenance : pas assez : il y a des pannes trop : ça coûte cher Il est donc nécessaire de suivre ces ratios pour tirer des enseignements. L'expérience des intervenants est très importante mais nécessite d'être étayée par des chiffres pour convaincre les décideurs. Cela n'est pas toujours évident. Mais on doit se rappeler que les contraintes réglementaires et la sécurité ne peuvent pas être négociées.

Quand cela est possible il est certain qu'une planification à long terme permet de mieux gérer la sécurité, de mieux prévoir les coûts, de mieux gérer les disponibilités et les manques (personnels, pièces détachées, outillage). Mais cela demande des ressources pas toujours disponibles. Il faut donc gérer un équilibre entre planification à long terme et planification dans l'urgence. Pour cela des outils tels que des logiciels de #GMAO peuvent s'avérer utiles et permettant de faire gagner du temps.

La communication en maintenance est un élément clé. Communication en interne, entre équipes, entre intervenants et encadrants. Il est nécessaire de mettre en place les bons outils : cahier de consignes, réunion au changement d'équipe, logiciel de GMAO... Communication entre la maintenance et les autres services. Les professionnels de maintenance étant proches du terrain ils ne communiquent souvent pas assez sur leurs actions, leurs contraintes, leurs difficultés. Il est nécessaire de mettre en place des canaux de communication vers les autres services de l'entreprises pour une bonne compréhension mutuelle (articles sur l'intranet, réunions, présentation, échange de poste...)
