The key mission is to support in achieving the mission and change transformation journey. The Executive Assistant needs to go beyond the traditional secretarial functions by playing the role as a partner and facilitator to the WFJ Director, North Asia, coordinating across all teams and markets, providing strong support especially in the métier of governance and planning in North Asia.

Impact You Can Create In The Role:

You will be responsible for performing an array of administrative and coordination functions, requiring confidentiality, initiatives and comprehensive decision making for the senior leader, their team of managers, and other stakeholders within the Region, markets and Global WFJ teams. You bring years of extensive professional experience with people skills proven records, while being agile, collaborative and open-minded, to enable the leader in onboarding and performing his senior leadership role to create greater impact for the WFJ business in North Asia. You act as a professional collaborator and problem solver to confidently make independent decisions when handling administrative tasks and communicating at an exceptional standard. You develop a deep understanding of what matters to the teams, and actively apply that knowledge to your day-to-day activities with ownership and ability to multitasks and move inside a fast-paced changing environment. You will also play a key role on supporting business as usual in the governance and planning métier.

Governance & Planning Métier Coordination


  • To support the métier on global strategy adaptation, coordinate the governance cadences and transformation efforts
  • To participate in the annual planning preparation, budgeting and MTP coordination, to support the métier in preparing the presentation materials all the way from translating the visions/thoughts into well-structured content & format and conducting market research as deemed necessary.
  • To be part of the business planning cycle, to support the métier for orchestration across division, region & market
  • To coordinate the strategic governance framework formulation to review and optimize the WFJ operating model to empower the business ambition
  • To partner with the métier on the portfolio management of initiatives and projects, to drive continuous constructive discussion


Stakeholder Management & Team Engagement


  • To partner with the WFJ Director, North Asia in fostering a strong team spirit amongst the North Asia WFJ teams and to support the smooth transition along with the transformation journey.
  • To contribute to the partnership of the WFJ Director, North Asia with his key stakeholders by building strong networking with them and their teams.
  • To share with the WFJ Director, North Asia openly the observations and perspectives on the situation facing the divisions.
  • To coordinate across all the teams in the Regional office, markets and Global teams to support the WFJ Director, North Asia and to reinforce connection and facilitate new ways of working.
  • To support the team engagement and the change management during the transformation journey


Planning & Organizing


  • To partner with the North Asia WFJ leadership team in ensuring the meetings are conducted in a constructive and productive way.
  • To own and master the activities calendar to ensure the time of the WFJ Director, North Asia are well-spent on activities that generate the best ROI to the House, to the division and our people.
  • To plan and organize meetings take place in North Asia by representing the director’s office and to manage the visit of senior leaders in North Asia.
  • In collaboration with dedicated teams, to champion the organization of the North Asia WFJ leadership meetings including planning for the agenda, implementation and follow-up.


General Administrative Support


  • To manage the calendars and meeting scheduling for the WFJ Director, North Asia to ensure his works are carried out in a seamless, timely, efficient and effective manner.
  • To manage all travel arrangements and related activities (i.e. visas), includes travel request forms and others.
  • To oversees the departmental expenses spending of the regional team and to provide support in processing hisT&E claims in an accurate manner.
  • To build and maintain a well-organized and systematic filing systems (electronic & paper-form).
  • To obtain good understanding on the content of the documents received for signature by the WFJ Director, North Asia.
  • To constantly looking for an agile and effective way of doing things by applying new methodologies/approach and to streamline the work processes.
  • To support the Regional teams needs as required with strong collaborative spirit and open-mind.

What You Will Bring


  • Solid experience with proven track record in serving senior executives from multinational companies.
  • A strong team player with excellent interpersonal, communication & networking skills and be able to build a good relationship & partnership with people of different profiles.
  • Excellent planning and organizing skills and able to create impact through influence.
  • Be open minded and think out of the box in looking for new ways of doing things.
  • Being mindful and able to demonstrate humility and humanity.
  • Fluent spoken English, Cantonese and Mandarin are added advantageous.
  • Good written English and Chinese, ability to work on translation is an added advantageous.
  • Well versed in MS Office including PowerPoint, Words and Excel
  • The role requires traveling oversea.
