Are you ready to join the programmatic evolution?

We are seeking a Toronto-based Executive Assistant to support the Chief Technology Officer (CTO) and the Technology Leadership Team. This role reports directly to the CTO, who leads multiple functions and disciplines globally for Index, including Engineering, Technology Operations, Machine Learning and Optimization, Architecture, and Quality and Delivery, as well as serving as the executive lead for strategic initiatives and industry engagement. The EA is a strategic partner for our executive leaders, proactively anticipating needs and issues, and streamlining and organizing schedules, travel, and team projects. The EA will be tuned into the business operations and priorities of the CTO, facilitating administrative tasks and operations on their behalf.

Here’s What You’ll be Doing:

  • Understand the business priorities of your leaders to best leverage their time.
  • Employ a strategic and assertive approach to calendar management, scheduling meetings for multiple leaders and resolving conflicts independently while maintaining strong attention to accuracy and detail.
  • Direct, monitor, and contribute to project tracking and management, and participate in culture enhancements and change management initiatives within the engineering department.
  • Handle inquiries and confidential administrative duties quickly, and proactively, and follow through on tasks to successful completion.
  • Support your executives in maintaining relationships with key stakeholders to ensure continuity in communications and to surface and pursue opportunities for collaboration.
  • Embody the culture, values, and goals of your executives when engaging with internal and external stakeholders.
  • Identify operational weaknesses and help refine processes or develop new ones.
  • Intuit the dynamics of the team, and seamlessly step into and out of workflows across the company, time zones and travel schedules.
  • Collaborate with other members of the executive assistant team to provide seamless support for all.

Here's What You Need:

  • 4+ years of Executive Assistant supporting C Suite Executives preferably in a globally distributed Engineering or technology environment.
  • Excellent problem-solving skills with the ability to prioritize business needs and make trade-offs across all stakeholders accordingly.
  • Thrive in a fast-paced environment requiring incredible attention to detail and commitment to flawless execution on tasks.
  • Technologically savvy with the ability to quickly adapt to new applications and tools.
  • A self-starter who can determine priorities and make tradeoffs when needs change.
  • Have discretion and sensitivity towards confidential information.
  • Are proactive and motivated to iterate on current processes and build efficient systems.
  • Capable of creating structure around themselves, with the ability to adapt to, embrace, and lead change, and resolve conflicts in a flexible and assertive way.
  • Have professional polish, effective communication skills, both written and verbal and the ability to exhibit grace and composure under pressure.
